5/1 Update

Really long Update this week.

     We hope everyone is healthy and safe in week seven of the mandated school closure. Please know that PASS is still working closely with the district administration on a weekly basis to coordinate essential tasks and the safest way to get work done.


     The Governor’s office has closed schools for the remainder of the 2019-2020 school year, has extended the stay at home order through May 30th, and now has mandated that everyone wear a mask while in a building where it’s not possible to maintain 6 feet of distance. While the buildings do have some masks, we are asking employees who have to come into a building to do work, to provide their own masks if possible. Please be assured that all members in the categories returning to the buildings will be following the guidelines from the Governor’s Office and the IDPH.  


All PASS members will continue to be paid their normal pay and keep their benefits through their normal pay period for the 2019-2020 school year. Some people are paid July 1 through June 30, and some are paid August 20something through the following August 20something or some variation. Everyone will continue getting paid as if we worked the whole school year and are coming back in the fall. Unless someone retires, resigns, or goes on FMLA when they are required to come back. 


We are currently working on vacation days and what to do going forward if someone is unable to take their days before June 30th. We will update you when details are worked out.


As per the email below, the district will be doing the 2020 ESY (Extended School Year – i.e. Summer School) remotely and will not be hiring any PASS employees. This will include Sped. Paraprofessionals and Secretary.

The purpose of this email is to inform you ESY will be done remotely from home.  As a result, we will not be utilizing any PASS employees to support the ESY program this summer.

Many are asking about the 2020-2021 school year. At this point we do not have any answers on how this will look. The district is keeping up with all directives from the Governor’s office and we will continue to work together on this for the fall. As we receive information, we will pass it along to you.


New categories that are being asked to work


Athletic Secretaries – Athletic secretaries can begin working on May 4th. Financial items as necessary, athletic awards, charter bus


Nurses –Week of May 4th, Organize the medication to be distributed the on May 11th and May 12th to families. Complete required end-of-year tasks per District or State nursing guidelines by May 20.

Week of May 18th, organize and box the health records of students who are transitioning to a new level (EC to Kdg, 5th grade to 6th grade, 8th grade to 9th grade, 9th to P-Step, etc) An email has been sent to the nurses with directives.


Maintenance and Custodians will begin to work full time starting May 4th. A schedule has been sent out by Paul Gonzalez and is also attached to this update. Summer cleaning should begin on May 26th.


Administrators from each building will be coordinating locker clean out. Please check with your administrator for details. All schools will need to have desks and lockers cleaned out so that our custodians can do their summer cleaning. All categories who have not previously had essential tasks assigned (Reg. Ed. Paras, Sped. Paras, Clerks, Campus Monitors, Secretaries, Lunchroom Supervisors) will be asked to help out with this task the week of May 4th through May15th As the district has been working with us on only having the most essential tasks completed during this time, we strongly encourage everyone to give back to the district with a few hours of time. Times will be staggered and the number of employees in attendance at any one time will be limited.


Sped Parapros. At this point, the teachers may be reaching out to Paras in their classrooms to let them know if there is anything they can help with remotely. They may be including paras in their Google Classroom assignments, inviting paras to Zoom meetings, or other things that can be done remotely. If you do not hear from your classroom teacher, please feel free to reach out to them to see if there is anything you can help with. No paraprofessionals are required to work during this time unless their assistance is needed.  We do not expect administration or teachers to “find” something for the paraprofessionals to do, but rather, teachers and admin should determine IF there is a way they can assist during the next few weeks.  Assistance can also be with tasks beyond Remote Learning, such as end of the year procedures. We will not be checking out computers to our paraprofessionals at this time, so if they want to assist, it will need to be within their ability to participate. If you have any questions about tasks that are asked of you, please email JoAnne Clemans and we will work through it.


     We still have the same groups of members doing “essential” work in the district. As a reminder they are:

Principal Secretaries and Bookkeepers were asked to work from home to do the financial reconciliations that are due. 

Special Ed Secretaries working from home.

BSN-RN Nurses for Medical Review also started doing “essential” work. 

Head Custodians at all the schools did come in on a reduced schedule to do complete building checks. 

Custodians in each high school to clean after Aramark finishes making the free lunches for distribution.

Maintenance were at the buildings doing “essential” work to maintain the buildings, although some of that was delayed due to the cold weather we have been experiencing. 

Grounds have been out mowing to keep the exteriors maintained.

Custodial Cleaning Schedule
5 Day Work Week (Until Summer hours begin)
All custodians will work they’re normal scheduled shift and hours with a slight adjustment to the schedule for the Mid-Day custodians at the Elementary & Middle schools.

Below is a list of examples of things that can be completed during this time:
Clean classroom lights, hallway lights, storage rooms, hallways, stairwells, kitchens, Fieldhouses, gyms, gym bleachers, Auditoriums. Full clean restrooms including square scrubbing the floors and scrub floors in storage rooms.
When possible any areas that can be completed by one person should be done as so to keep within the guidelines of social distancing. If there is an area where two or more people are assigned, any tasks should be divided by the immediate Supervisor and they should remember to stay six (6) feet apart at all times. It is very important that we follow the social distancing guidelines to keep a safe work environment.
Please remember it is important for the Head Custodian and the Night Supervisor to communicate with each other about what tasks has been started and to keep a running list of everything that is completed each day.

Everyone is working a normal work week schedule 8 hours a day with a lunch which is 8.5 hours.  This is a five day a week schedule.  Please work on filters and cleaning unit vents.  If it takes you more than the time on the schedule that is fine. Times were determined by union seniority.

There is no OT. Keep a Safe Distance between each other and remember a 6’ distance apart from each other. REMEMBER SOCIAL DISTANCING
